Institutional Regulations & Faculty Mandates

  • Probationary Assessment Period Every newly onboarded instructor must undergo a mandatory three-month probationary evaluation cycle. Tutors will be rigorously monitored on pedagogical efficiency and emotional intelligence. No annual leave balance can be accessed during this phase. Hudaflow Academy retains the unconditional corporate right to terminate employment immediately at any point within this period without advanced liability.

  • Work Shift Structure The basic standard work shift consists of 5 operational hours per day, executed 6 days a week. Management retains the structural authority to assign multiple shifts to a single instructor based on global platform demand and performance records.

  • Shift Stabilization Once a designated shift structure is formally acknowledged and confirmed by the instructor, it remains strictly permanent and static. No shifting or manual adjustment is allowed unless backed by explicit administrative approval that guarantees zero scheduling disruptions for active students.

  • Daylight Saving Alignment Instructors must agree to adaptive schedule modifications mirroring localized changes in Daylight Saving Time (DST) across international student time zones to ensure seamless educational tracking.

  • Unpaid Weekly Rest Days Instructors hold the right to select one unpaid weekly rest day. This rest day officially initiates only after the full completion of the preceding agreed-upon shift duration, regardless of morning or evening assignment alignments.

  • Intra-Shift Allocation Rights Hudaflow Academy retains the absolute administrative right to allocate student classes at any point inside the instructor’s confirmed shift window without prior notification, provided the lessons are registered before the shift begins.

  • Extra-Shift Overtime (Optional) The administration may request the instructor to conduct sessions outside their standard shift window. This remains entirely optional and functions strictly upon prior mutual agreement.

  • Holy Ramadan Scheduling Continuity To uphold strict systemic discipline, standard shift hours remain fixed and static during the Holy Month of Ramadan. The academy will meticulously coordinate parameters to respect the exact Iftar and Suhoor windows for both tutors and students.

  • Classroom Quality Control Parameters To guarantee an elite, high-converting learning environment, instructors must strictly maintain the following quality baselines:

    • Absolute Punctuality: Zero lateness tolerances and no uncoordinated sudden cancellations.

    • Tech Infrastructure: A highly stable internet connection tracking minimum speeds of 5 Mbps, an optimized computer system, high-definition visuals, professional room lighting, and pure, noise-isolated audio.

    • Professional Aesthetics: Instructors must maintain a polished, highly professional appearance throughout the class.

    • Device Restriction: All sessions must be managed strictly via a laptop or desktop computer. Managing classes through mobile devices or tablets is entirely prohibited.

  • Paid Religious Leaves Paid institutional leaves are strictly restricted to Eid al-Fitr and Eid al-Adha. Tutors are compensated exclusively for their core standard students as if they were attended, mapped automatically by our system:

    • Eid al-Fitr Leave: Valid for 2 consecutive days, commencing from the sunset of the final day of Ramadan until the sunset of the second day of Eid.

    • Eid al-Adha Leave: Valid for 3 consecutive days, commencing from the sunset of the Day of Arafah, with standard shift duties resuming immediately post the sunset of the third day of Eid.

  • Compensation Currency Binding Instructor financial compensation is mutually agreed upon in Egyptian Pounds (EGP) prior to onboarding. However, the operational value remains strictly pegged to the live United States Dollar (USD) conversion rates approved by the Central Bank of Egypt.

  • Hourly Wage Structure & Performance Metrics Compensation is calculated strictly relative to verified monthly instructional hours. The standard rate is set at $3.25 per hour, split into a fixed base of $2.75 and a variable performance layer of $0.50. The variable layer is calculated based on quality tracking metrics and management evaluations, distributed alongside the subsequent month’s payroll.

  • Mandatory Tech Redundancy Instructors must maintain active backup parameters for internet and power to bridge sudden infrastructure failures. Valid options include active MiFi devices, cellular mobile data tethering, or hardware internet dongles alongside secondary emergency power banks.

  • Schedule Manipulation Restrictions Tutors must adhere strictly to their locked calendar rows. Repetitive or excessive requests for scheduling alterations will result in the immediate freezing of account additions, triggering a formal compliance investigation to protect student tracking stability.

  • Structural Reporting Milestones Tutors must compile and transmit detailed daily, weekly, and monthly progress data tracking sheets precisely inside the pre-approved administrative time limits.

  • Stealth Quality Audits Academic supervisors retain the legal authority to execute unannounced, stealth entries into virtual classrooms for randomized quality control and tracking. To preserve absolute privacy, female supervisory personnel handle 100% of audits regarding female instructors.

  • Curricular Compliance Tutors are mandated to follow the explicit curricular pathways approved by the administration. Utilizing external PDFs, books, audio samples, or media files without explicit prior managerial authorization is strictly prohibited. If a student requests an external syllabus, the tutor must direct them to connect formally with the support desk.

  • Platform Track Limitations Tutors must strictly limit instruction to the explicit tracks unlocked on the system dashboard. Teaching any external subject matter is illegal, even if requested directly by the parent or guardian.

  • Corporate Credential Isolation Instructors must strictly utilize the corporate communication profiles provided by the academy. Altering passwords, trading access data, or distributing credentials outside our secure workspace network will result in immediate termination.

  • Mandatory Video Engagement All classes are conducted under strict full-video (audio and visual) requirements. The instructor must remain completely visible, centered, and engaged on screen throughout the private 1-on-1 session.

  • Corporate Background Enforcement Instructors must present a highly professional corporate aesthetic, strictly deploying the official Hudaflow digital background within Zoom interface parameters.

  • Virtual Background Activation The native Virtual Background software feature must remain active and functional at all times during live fusions.

  • Lesson Archiving Limitations Management reserves the right to archive and record sessions for evaluation, tutoring upgrades, or parent auditing. Recording or saving sessions locally by the instructor is entirely prohibited.

  • Late Student Attendance Protocol If a student is delayed, the instructor must remain in the virtual classroom for exactly half of the total scheduled lesson duration. Leaving the room prior to this midpoint will automatically invalidate the hour log.

  • Early Morning Calendar Validation Tutors must audit their assigned schedules in the early morning. Any identified technical or structural anomalies must be dispatched to support teams immediately to allow ample time for an operational fix.

  • Support Desk Escalation Milestones Tutors must dispatch immediate automated logs to the support desk under the following strict milestones:

    • Student delay hits the 5-minute mark.

    • Repeated notification logs sent to support every subsequent 5 minutes of student absence.

    • Upon reaching the session midpoint, log the final student absence, then safely exit the room.

    • Immediate dispatch of emergency rescheduling requests if a force majeure event hits the tutor.

  • Guaranteed Tutor Compensation If an instructor logs in, validates infrastructure, and waits for a delayed student who ultimately fails to attend without advanced notice, the tutor receives full hourly compensation for their reserved time.

  • Advanced Emergency Absence Notice Tutors must log sudden emergency absence notifications at least 5 hours prior to the session start time. Uncoordinated absences are strictly rejected, triggering an immediate penalty deduction. The tutor must coordinate an unpaid makeup session to restore student tracking stability.

  • Late Client Cancellation Compensations If a student requests a cancellation with less than 2 hours of notice, the tutor is compensated with 50% of the session value. If the student cancels after the live session has officially started, the tutor receives 100% of the hourly wage.

  • Structural Rescheduling Protocol Valid adjustments require logging a request with the support desk at least 24 hours prior to the session to allow administrative updates. Emergency tutor adjustments are strictly limited to a maximum of 3 instances per calendar month.

  • Uncoordinated Absence Realignment If a session fails to execute in its locked time and a mutual makeup slot is not agreed upon with the client, the tutor must immediately signal for lesson cancellation and submit a new ticket for an alternative makeup slot.

  • Shift Command Imperative Instructors cannot refuse or reject any legitimate student placement assigned within their confirmed, locked shift hours.

  • Absolute Ideological & Political Neutrality Tutors are entirely forbidden from voicing personal, political, sectarian, or theological views with students. Conversations must remain strictly confined to the academic parameters of the lesson. If a client steers discussion outside these boundaries, the tutor must politely explain that academy regulations strictly prohibit external commentary.

  • Strict Professional Boundary Isolation Exchanging personal social media handles, phone numbers, or emails with students or parents is strictly illegal. Instructors are fully prohibited from adding clients on Facebook or any alternative digital platform. If requested, direct them to the management terminal.

    CRITICAL LEGAL NOTE: Any violation of this professional boundary clause will result in immediate termination, blacklisting, and potential legal prosecution under corporate non-circumvention laws.

  • Systemic Fines & Penalties Framework Tutors must comply with all operational guidelines. Any violation will trigger institutional fines matching the impact of the error on our students, ranging up to $50 per instance. Critical violations involving data breach or trust exploitation are audited independently for custom prosecution.

  • Unpaid Annual Leave Balances Tutors acquire an annual allocation of 14 unpaid rest days, fully accessible only after completing the 3-month probationary cycle. Requests must meet these strict notice limits:

    • For leaves spanning 1 to 3 days: Minimal advanced notice of 3 days.

    • For leaves spanning 4 or more days: Minimal advanced notice of 10 days.

  • Emergency Single-Class Leave Tutors are allowed a maximum of 2 emergency single-class absence requests per month (capped at 2 sessions total). Notice must be submitted at least 2 hours before class. Unexcused absences exceeding this limit trigger automated double-rate financial deductions.

  • Statutory Holiday Absence Penalties If an instructor logs an unexcused absence immediately before or after a paid religious holiday (Eid), the entire duration of the official holiday will be automatically deducted from their annual leave balance.

  • Over-Leave Penalties Exceeding approved annual leave limits results in an automated double-rate financial penalty deduction for every unapproved day away (1 day equals 2 days deducted).

  • Emergency Kinship Leave Criteria Legitimate emergency leave (deducted standardly from annual balance) is strictly restricted to verified illness or death among first-degree relatives. Unexcused non-emergency absences will trigger a double-rate deduction and structural financial fines.

  • Onboarding Document Deadlines Instructors must submit 100% of required corporate onboarding and background verifications within 7 business days from signing the contract. Failure to meet this deadline triggers an automated freeze on payroll distribution until compliance is restored.

  • Monthly Payroll Distribution Windows Monthly financial distributions are systematically processed by management up to the 5th day of every calendar month. Faculty members must refrain from contacting support or billing desks regarding payment status prior to the passing of the 5th day.

  • Financial Team Isolation Instructors are entirely prohibited from discussing accounting, currency metrics, or billing parameters with the general technical support team. All queries must be directed exclusively through official tickets to the specialized Accounts Department.

  • Statutory Resignation Notice To ensure tracking stability for students, an instructor initiating a formal contract termination or resignation must provide a mandatory, binding transition notice period of exactly 1.5 months (45 days) from the date of administrative acceptance.

  • Quarterly Performance Evaluations Every faculty member is subjected to a comprehensive performance evaluation every three months to meticulously map instructional strengths, behavioral data points, and areas requiring pedagogical support.
